Position: Assistant Project Manager

Location: Tirana

Position Summary: Provides expertise and support in monitoring project progress and executing processes initiated by the Project Manager. Responsible for coordinating activities, resources, and involved parties in the project, working closely with the Project Manager to rigorously apply quality, budget, and workplace safety requirements.

Duties

• Executes and monitors project processes to achieve strategic objectives, strictly adhering to budget, timeline, and quality standards;
• Collaborates with the Project Manager to understand project requirements, objectives, necessary materials, and to report on process progress;
• Monitors achievement of objectives, design processes, opposition procedures, work acceptance certificates, construction progress, and preparation of legal documentation for project closure, maintaining correspondence and documenting all gathered information in writing;
• Prepares periodic reports in a standardized format regarding project progress, conducting site visits according to an approved schedule and frequency;
• Prepares drafts of official documents with development parties, owners, etc.;
• Supports preparation of various technical-legal files for project processes;
• Assists in preparing invoices and penalties for involved parties;
• Supports preparation of documentation for final approval, usage permits, or mortgage registration;
• Collaborates with companies and other departments involved in the process for technical project follow-up (this task may occasionally be performed using external experts when needed or when expertise requires);
• Ensures work quality meets required standards (compliance with approved conditions and technical specifications), supervising and periodically checking progress in line with company standards and technical implementation conditions, conducting periodic audits;
• Documents site issues and proposes changes to the Project Manager;
• Supports preparation of work schedules and monitors their completion within set deadlines;
• Monitors the project from handover to delivery of ownership certificates and signing of sales contracts;
• Maintains communications with developers to report on construction progress and contractual notifications until completion;
• Prepares and manages the project budget when necessary;
• Monitors project implementation according to the Business Plan and updates it as needed;
• Monitors and documents client issues for any process blockages until resolution;
• Ensures documentation of all project phases and prepares short-term plans based on project progress;
• Interacts with involved parties to maximize the value of assets gained from projects;
• Continuously evaluates opportunities to improve processes, increase innovation, and optimize costs to enhance project quality and client satisfaction;
• Performs other tasks assigned by the supervisor.

Qualifications

• Education: Must hold a university degree in Architecture / Civil Engineering / Management Other Qualifications: At least 2 years of experience monitoring design/construction processes;
• At least 4 years of experience in design/construction implementation;
• Knowledge of building permit processes, construction documentation, and building materials;
• Strong verbal and written communication skills to interact effectively with team members, stakeholders, and clients;
• Excellent skills in monitoring, documenting, and compiling reports efficiently and clearly;
• High proficiency in spoken and written Albanian and English;
• Very good knowledge of programs such as WORD, EXCEL, POWERPOINT, AUTOCAD, and basic knowledge of project management software like MS-PROJECT or PRIMAVERA is an advantage;
• Familiarity with project management methodologies, tools, and techniques. Basic understanding of project phases, processes, and terminology;
• Ability to manage multiple tasks and priorities simultaneously, ensuring deadlines are met and resources are efficiently allocated;
• Ability to work effectively within a team environment, collaborating with team members and stakeholders to achieve project goals;
• Willingness to adapt to changing project requirements and circumstances, and ability to provide assistance and contribute to achieving project objectives.
